Job Summary
St. Ambrose Charity Hospital is seeking to recruit a friendly, organized and customer-focused Receptionist to serve as the first point of contact for patients and visitors. The successful candidate will be responsible for receiving clients, handling inquiries, managing appointments, maintaining records and supporting administrative functions to ensure smooth hospital operations.
Key Duties and Responsibilities
- Receive and welcome patients, visitors and other stakeholders in a professional manner.
- Respond to telephone calls, emails and general inquiries promptly and courteously.
- Guide patients and visitors to the appropriate departments and service points.
- Schedule appointments and maintain appointment records.
- Maintain accurate patient registration and reception records.
- Handle incoming and outgoing correspondence.
- Assist in filing, photocopying, scanning and document management.
- Maintain confidentiality of patient and organizational information.
- Support billing, cash receipting and other basic administrative duties where required.
- Ensure the reception area remains clean, organized and welcoming.
- Provide administrative support to various departments as assigned.
- Perform any other duties assigned by management.
Qualifications, Skills and Experience
- Certificate or Diploma in Secretarial Studies, Office Management, Business Administration or a related field.
- Excellent verbal and written communication skills.
- Computer proficiency, including Microsoft Word, Excel and email applications.
- Knowledge of secretarial and basic accounting procedures is an added advantage.
- Strong customer care and interpersonal skills.
- Good organizational and time management abilities.
- Ability to multitask and work in a busy environment.
- High level of integrity, professionalism and confidentiality.
