Job Summary

We are seeking a dedicated Procurement Officer to manage the efficient sourcing of medical supplies, office equipment, food supplies, and other goods for the hospital. You will oversee procurement processes, ensure inventory management, and coordinate donations. This role is vital in ensuring that the hospital operates smoothly with a well-stocked inventory of necessary supplies for patient care.

Key Responsibilities

Inventory Management

  • Ensure compliance with financial policies and procedures regarding inventory transactions.
  • Oversee donations to the hospital, ensuring proper documentation and processing.
  • Monitor stock levels, coordinate with stores teams, and ensure timely supply acquisition to avoid stockouts.
  • Assist in clearing supplies from international shipments and in reconciling stock data in the Odoo system.

Procurement Processes

  • Prepare local purchase orders (LPOs) and track goods delivered according to specifications.
  • Verify procurement documents and supply requisitions before submission for approval.
  • Maintain an updated list of local and international suppliers and ensure adherence to sustainable practices and market trends.

Documentation & Reporting

  • Maintain procurement data in the Odoo procurement system, ensuring accurate and up-to-date records.
  • Track commonly used items, consumption changes, prices, and availability.
  • Prepare and generate monthly procurement reports and assist in facilitating annual audits.

Professional Development

  • Participate in training and professional development programs to improve performance.
  • Follow occupational health and safety policies, ensuring a safe and productive workplace.

Other Duties

  • Support general office work as required.
  • Attend departmental meetings and contribute to the overall goals of the organization.

Qualifications, Skills, and Experience

  • Degree in Procurement, Business Administration, or a related field (Diploma candidates may be considered).
  • CIPS qualification is an added advantage.
  • At least 3 years of experience in procurement and general office work.
  • Proficiency in Odoo (Odoo 10 and 16) and accounting packages.
  • Knowledge of tax systems, including Customs and Domestic tax laws.
  • Experience in Medical Inventory, procurement, and accounting systems is highly desirable.
  • Strong communication skills and experience in negotiation, teamwork, and people management.
  • High-level planning, organizational skills, and time management capabilities.
