TERMS OF REFERENCE (TOR): PROVISION OF VIDEOGRAPHY AND PHOTOGRAPHY SERVICES FOR EASTERN AFRICA
ABOUT FAIRTRADE AFRICA
Established in 2005, Commerce Équitable Afrique (CEA), trading as Fairtrade Africa (FTA), is an independent non-profit umbrella organization representing 697 Fairtrade-certified producers across 29 countries in Africa and the Middle East.
FTA is owned by its members, who include producer organizations engaged in traditional export commodities such as coffee, cocoa, flowers, tea, cotton, wine, bananas, sugar, fresh fruits, herbs, and spices—as well as non-traditional commodities like shea butter, honey, and rooibos. FTA collectively represents over 1,450,000 smallholder farmers and workers.
SCOPE OF THE ASSIGNMENT
FTA seeks to engage qualified individual(s), firm(s), or institution(s) to deliver the following:

Produce 1 short video documentary (max. 5 minutes) and a 60-second social media cut showcasing the impact of Fairtrade Certification and Premium-funded projects, with a thematic storytelling approach.

Capture high-quality photography that powerfully documents producer stories and project outcomes.

The content will be used across FTA’s YouTube, website, LinkedIn, Instagram, Facebook, and other communications and training platforms.

EXPECTED OUTPUTS (PER COUNTRY)
1. Video Production
-
1 x 5-minute documentary-style video.
-
1 x 60-second version optimized for social media use.
2. Photography
High-resolution images with metadata:
-
Producer portraits (emotive and in action)
-
Product images (raw, bulk, and finished — showing the journey)
-
Landscape shots, including drone footage of plantations
-
Project-related action shots (showcasing Premium-funded activities)
3. Signed Release Forms
-
All featured individuals must sign release forms granting the Fairtrade system (FTA offices and licensees) the right to use their images, videos, audio, and testimonials for communication, training, and promotional purposes.
OBJECTIVES
The goal is to:

Educate and inspire stakeholders about the mission and impact of Fairtrade Africa.

Use powerful storytelling to highlight the resilience, challenges, and successes of producers.
-
Encourage engagement and support for the Fairtrade movement.
The final deliverables will serve as communications, training, and marketing tools, and must include a brief report detailing:

Filming locations

Names and contact details of all participants
-
At least three powerful quotes/testimonials from producers or stakeholders (for use in reports and factsheets)
REQUIRED EXPERIENCE
FTA seeks experienced individual consultants, firms, or institutions with:
-
At least 3 years of experience producing high-quality documentary videos in areas like sustainability, gender equality, inclusion, and community development.

Strong technical and creative capabilities in video and photography production.
Key Competencies:

Proven experience in similar assignments (include team bios and past projects)

Excellent visual storytelling and communication skills

Openness to feedback and strong project management
-
Ability to work with both technical and non-technical stakeholders
