Job Summary
Watoto Church Ministries is looking for a dedicated Administrative Assistant for their Downtown campus. This role will involve a range of administrative duties, such as supervising the front desk, coordinating events, supporting campus administration, and ensuring the church space is well-maintained.
Key Responsibilities
- Provide a professional welcome for visitors, ensuring the space is tidy and that all visitor inquiries are handled promptly and efficiently.
- Plan, coordinate, and schedule events, including baptisms, baby dedications, and Equip streams for both physical and online platforms.
- Maintain and update the phone directory and manage the timely distribution of mail and important notices.
- Coordinate schedules for counselling services, staff, and pastors to avoid conflicts and ensure smooth operations.
- Perform routine maintenance checks, identify areas for repair, and ensure a safe and welcoming environment for all visitors.
- Manage the room allocation schedule, ensuring optimal use of available space.
- Collaborate with volunteer team leaders to provide resources and support, ensuring exceptional experiences for attendees.
- Supervise and ensure the integrity of cash handling processes, working with Finance and Security teams to maintain transparency and accuracy.
- Provide support for childcare-related inquiries, including sponsorship, recruitment, and donations.
- Prepare and manage online services, compile monthly follow-up reports, and assist in church activities, such as following up on new converts and cell groups.
Qualifications, Skills, and Experience
- Bachelor’s degree in Business Administration, Finance, or a related field.
- At least two years of experience in an administrative role within a reputable organization.
- Proficiency in MS Office 365 and experience with Microsoft Dynamics is a plus.
- Excellent communication and interpersonal skills, with the ability to work collaboratively and efficiently.
- Strong problem-solving abilities and a high level of integrity.
- Ability to maintain confidentiality and exercise sound judgment in all responsibilities.
- Must be result-oriented, proactive, and able to work with minimal supervision.
