Introduction

EMERGENCY is a leading Italian organization providing high-quality, free medical and surgical care to victims of war, landmines, and poverty. With a strong commitment to peace and human rights, EMERGENCY has been serving communities since 1994. In partnership with the Uganda Ministry of Health, we operate the Children’s Surgical Hospital in Entebbe, offering specialized pediatric surgical services. We are now seeking an Administration Supervisor to join our team and support the effective management of our operations in Uganda.

Key Responsibilities

Administration Management

  • Supervise and coordinate the administrative team, ensuring the proper implementation of EMERGENCY’s procedures and protocols.
  • Oversee the management of administrative and financial documents, ensuring they are accurate and up to date.
  • Ensure proper management of cash funds, bank accounts, and monthly reconciliation activities.

Reporting and Compliance

  • Prepare and submit monthly reports (e.g., cash flow, financial reports) to HQ, promptly addressing any concerns or issues.
  • Coordinate and support internal and external financial audits to ensure transparency and compliance.
  • Ensure full compliance with local laws, tax regulations, and all organizational protocols.

Team Coordination and Support

  • Support the administrative team in managing staff documents, including payslips and other national staff-related administrative tasks.
  • Facilitate effective communication between the administrative team and other departments, the Country Director, and the HQ.

Qualifications, Skills, and Experience

  • Educational Background: A Degree in Economics, Political Science, International Relations, or a related field.
  • Experience:
    • Minimum of 3 years of experience in an administrative role, ideally in both profit and non-profit organizations.
    • Experience in financial management, including maintaining a cashbook, managing receipts and payments, and reconciling bank and cash accounts.
    • Knowledge of funding lines and procedures of major institutional donors is a plus.
  • Skills:
    • Strong organizational skills with the ability to manage multiple administrative functions.
    • Attention to detail and ability to prepare accurate reports.
    • Knowledge of local tax laws and financial compliance regulations.

Working Conditions

  • Contract: 12-month contract (with a 6-month probation period and the possibility of renewal).
  • Salary: UGX 3,000,000 – 3,960,000 per month.
  • Social Benefits: GPA, National Social Insurance, Health Insurance, Housing, and Transport Allowance.
  • Leave: 21 paid leave days and additional leave types.
  • Duty Station: Entebbe, Uganda.
  • Start Date: As soon as possible.
